Privacy Policy

This policy covers www.managewithoptima.com: what the website collects, why, and who else sees it. It does not cover information you give us outside the website, such as a rental application, a lease, or tenant screening. Those are handled separately.

Information you give us

The rental analysis form is the main place this website asks for information. When you submit it, we receive:

• Your name
• Your phone number
• Your email address
• The address of the property you are asking about
• The number of units, and when you are looking to start
• Anything you write in the message box
• Which page of the site you submitted the form from

We use this to prepare your rental analysis and to reply to you. We do not sell it, and we do not share it with anyone outside the parties described below.

The instant rent estimate tool works differently. Typing an address there and getting a number sends us that address as well, even if you do not go on to submit the form below it. At that step we only receive the address you typed and the estimate returned, not your name, phone or email; we only get those if you separately submit the form.

Both the rental analysis form and the instant estimate tool deliver to us through Web3Forms, a third-party form service that passes the message to our inbox. They process the data on our behalf under their own privacy terms.

Information collected automatically

We use analytics to understand which pages people find useful:

• Google Analytics 4: records pages viewed, approximate location, device and browser type, and how you arrived at the site. It sets cookies in your browser to recognize repeat visits. Google acts as our analytics provider and processes this data under its own terms.

We also record when a rental analysis form is submitted, so we can tell which pages lead to inquiries. That record contains no personal details, only the page and the size of the portfolio bracket selected.

As with any website, the server that hosts this site keeps standard access logs, such as IP address, timestamp, and the page requested, for security and troubleshooting.

Other services this site relies on

• Google Fonts. The site loads its typefaces from Google's servers, which means Google receives your IP address when a page loads. No cookies are set by this.
• Web3Forms. Delivers rental analysis form submissions to us.
• Google Analytics. Described above.
• Owner and Tenant Portals. The portal links in our navigation take you to portal.managewithoptima.com, a separate system we operate for the owners and residents we work with. This policy covers this website only; information you provide in the portal, such as payments and maintenance requests, is handled under your management agreement or lease.

How long we keep information

We keep inquiries for as long as we are working with you, and for a reasonable period afterward in case you come back to us. If you would like us to delete your information, ask and we will, subject to any records we are legally required to keep.

Your choices

• Ask what we hold. Contact us and we will tell you what information we have about you.
• Correct or delete it. Ask and we will update or remove it.
• Stop hearing from us. Reply to any message asking us to stop, and we will.
• Opt out of analytics. Most browsers let you block cookies, and Google offers a browser add-on that opts you out of Google Analytics entirely.

Utah residents have rights under the Utah Consumer Privacy Act, and residents of other states may have rights under their own laws. We will honor any such request regardless of whether the law technically applies to a business our size.

Children

This site is meant for adults doing business with us. We do not knowingly collect information from anyone under 13. If you believe a child has sent us information, tell us and we will delete it.

Changes to this policy

If we change how the site handles information, we will update this page and change the date at the top. Material changes will be described here rather than made quietly.
